What forms of payment are accepted?
At this time, we accept cash, check, credit, debit, Tiger CASH, and purchase orders. Departmental budget codes are only accepted for mail processing.

When is the latest time that I can drop off mail for same-day service?
The cutoff time for mail is 2:30 p.m. This applies to outgoing mail and non-departmental UPS/FedEx shipments.

Where do I ship a package to a student who has an LSU Box?
To send regular USPS mail and packages to a LSU Box, please follow this address format:

Where is RICOH Mail & Copy Services @ LSU located, and when is it open?

RICOH Mail & Copy Services @ LSU will be located on the first floor of the LSU Student Union on Highland Road. LSU Boxes will be ready for rental by August 31, 2011. Stay tuned for details about our grand opening this fall.

Walk-up services will be available Monday - Friday, 7:30 am - 5:00 pm and Saturday, 10:00 am - 2:00 pm.

Access to all LSU mailboxes will be available during standard LSU Student Union hours, which you can find at http://unionweb.lsu.edu/HoursofOperation/item35138.html.



LSU Box Rental

How can I pick up a package sent to my LSU box?
If the package requires a signature, you will be notified via email or text message that it has arrived. You can pick up your package anytime during regular business hours in the RICOH Mail & Copy Services @ LSU.

How do I get a key for my LSU Box?
Current and new box holders may pick up box assignments and keys beginning Friday, Aug. 18 in room 107 in the LSU Student Union.

How do I keep the same P.O. Box number at RICOH Mail & Copy Services @ LSU?
Please visit RICOH Mail & Copy Services at LSU in room 107 of the LSU Student Union to determine if your box number is still available.

How do I terminate my LSU box rental?
On campus residents will be assessed a fee for box rental each semester. The fee will no longer be assessed once the student ends residency on campus. All other box holders should see a Ricoh Mail Representative to cancel box rental.

How do I upgrade to a larger LSU box?
Small boxes are available for $70/year; medium boxes for $90/year, and large boxes for $120/year. Please see a RICOH Mail Representative to change your box size.

I have a post office box at University Station that is up for renewal. How do I get a refund?
The USPS will refund box holders for the balance remaining on their rental agreements. Please go to the customer service window at University Station, Raphael Semmes Road, to complete the appropriate forms no later than Friday, Aug. 26.

I plan to live off campus next semester. Can I keep my same LSU box number?
Yes, as long as you have completed your LSU box renewal forms before the end of your agreement.

What do I do if my box key is lost or stolen?
Replacement keys will be made available for a fee of $25.00. Please visit the customer service desk at RICOH Mail & Copy Services @ LSU to report your lost key.

What is the Mail Box Charge on my fee bill for?
All on campus residents will be assessed a fee for mail box rental for the Fall 2011 and Spring 2012 semesters. If you have questions or concerns regarding this charge, please send an email to lsumailsvc@lsu.edu, including your LSU ID number.

Faculty and Staff Campus Mail: Address Guidelines

How long is Change of Address mail forwarded by the USPS?
According to the USPS, once your Change of Address is effective, mail is forwarded to your new address as quickly as possible. However, there is no estimated delivery time for forwarded mail, and forwarded mail may be subject to additional postage. Information on the forwarding of specific mail classes is as follows:

  • First-Class Mail® and Priority Mail®: 12 months
  • Express Mail®: 12 months
  • Magazines, Newspapers, and Periodicals
: 60 days
  • Standard Mail®
 (mail-order merchandise under 1 pound, circulars, and catalogs): Forwarded only with special endorsements from the mailer
  • Package Services and Commercial Parcel Select
: 12 months
  • International Mail: See USPS guidelines at https://www.usps.com/manage/manage-your-mail.htm.


If someone off campus sends a letter to my department, how should my address appear?
Incoming mail via USPS should be addressed as follows:

Is mail forwarding open to all LSU affiliates?
Campus departments must contact RICOH (578-2017) for any change of address in order to avoid interruptions in delivery of campus mail. Departments and LSU box holders who wish to have mail forwarded must complete appropriate USPS forms at https://www.usps.com/manage/manage-your-mail.htm.

Is there a special format for addressing campus mail?
Yes. Please use this format:

Do you provide campus mail envelopes on request?
Yes, we will keep a limited number of used envelopes on hand. For new purchases, University Stores keeps an inventory of campus mail envelopes. To order, please email the Item Number and quantity desired to uspr03@lsu.edu.

How long does campus mail take?
Delivery of campus mail should take no longer than one business day. If your mail has taken longer, please call 578-2710.

If a faculty or staff member changes departments, or leaves LSU, will you forward that person's mail?
Individuals are responsible for updating their mailing address information by completing the appropriate USPS forms at https://www.usps.com/manage/manage-your-mail.htm.

My department is printing a direct mail piece, and we want to use the LSU Permit for postage. What is the process to use the permit?

  1. Download the Mail Service Request Form at
    http://uas.lsu.edu/attachments/Mailing-Services-Request.pdf

  2. Complete the form. Make sure to include your department's budget code.

  3. Email the form to lsumailsvc@lsu.edu and include a PDF of artwork.


Requests may take up to three (3) business days to process. Foundation accounts are not accepted for non-profit permit mailings. Requests must originate from an LSU department, and not from a printing or mail vendor.

Once your piece has been mailed, please obtain a postage statement from your vendor. Send the postage statement to lsumailsvc@lsu.edu, and reference the control number in your subject line.

My department would like to send a large mailing to students, faculty, and staff. Can we use campus mail for this purpose?
Yes, departments may send on campus bulk mailings. For a mailing list contact Yvette Marsh (ymarsh@lsu.edu) at the Office of Human Resource Management, and provide the address parameters you are requesting (i.e., faculty, staff, etc.).
Larger mailings to students will need to be done via USPS mail or blast email. If student has an LSU box, then distribution fees will be determined on a case-by-case basis.

What is considered campus mail?
Campus mail is correspondence circulated within the LSU mail system without postage. Campus mail is used to conduct daily business with specific individuals/departments or to reach a general University population to distribute information on University policies or events. All campus mail material must originate from the department it represents. Mailings representing off-campus, non-LSU affiliated organizations must be sent via the US Postal Service (PS-91).

What is the procedure to meter departmental mail through the USPS?
Please follow these procedures to sort and bundle mail to be metered:
  • All mail requiring postage through the USPS should be kept separate from all other mail and bear a valid University return address.
  • The mail should be stacked with the addresses facing the same direction; larger pieces on the bottom and smaller pieces on the top. In addition, postcards should be placed on top since our mail processing equipment does not differentiate between letter-sized pieces and postcards.
  • Any letter-sized pieces that need to be machine sealed should be stacked with the flaps up and nested together. Larger pieces of mail and overstuffed envelopes should already be sealed prior to being metered. Failure to properly seal this type of mail could result in unsecured content in the envelope.
  • Mail should be bundled together by a rubberband and have the appropriate Charge Slip attached. Large quantities of mail that cannot be secured by a rubber band may be placed in a mail tub or mail tray with the Charge Slip placed on top in plain view. Departments are strongly encouraged to rubberband the mail that requires metering. This ensures that the correct account is billed for the appropriate service.
  • International and Campus mail should be kept separate from domestic mail.


Will you deliver a certified letter on campus?
No. A notice will be sent to the recipient via email or text message. Certified letters must be signed for and picked up at RICOH Mail & Copy Services @ LSU.

Restrictions

Are there any restrictions on the type of mail that can be processed?
Mail containing any hazardous materials cannot be processed. Also, please contact us at 578-2710 to inform us of heavy boxes for pick-up and metering, and to obtain the rate for special pick-up.

Can anyone use the LSU permit number?
No. The University owns and funds the LSU permit number. For more information, contact us at 578-2710.

Do LSU departments qualify for non-profit mailing status?
Mailing at non-profit rates is done on a case-by-case determination, based on affiliation and content. For more information please contact RICOH at 578-2710.

Do you meter international mail, and do you fill out all the forms?
We do meter international mail. Please complete the appropriate customs forms and Charge Slips, which are located at (http://pas.lsu.edu/mailing-services/forms).

My department needs to send documents or packages through commercial carriers (FedEx, UPS, Airborne, DHL, etc.). Do you arrange to have these picked up and delivered, and obtain a lower rate for us?
Departmental packages must be sent via LSU Easy Ship (www.easyship.lsu.edu), which guarantees a lower rate. Students, faculty, and staff may send personal packages via courier at RICOH if paid for with private funds.
